If you're the mortgage administrator everyone relies on — the one who knows what needs done, spots what's missing before anyone asks and takes real pride in keeping everything moving — we'd like a word.

We're looking for an exceptional Senior Mortgage Administrator to take real ownership of the Campbell Financial client journey, build brilliant relationships with our clients and, ultimately, become the operational right hand to our founder and adviser, Sheena. Keep reading.

This isn't an entry-level role

We're not looking for someone we need to teach how to process a mortgage.

You’re probably the person who already knows which case needs chased today because it'll become a problem next week if you don't.

You notice the missing document. You remember the thing the client mentioned three weeks ago. You know when something needs escalated and when you can simply deal with it yourself.

You don't need an adviser checking whether something has been done because you've already done it — and probably updated them before they thought to ask.

Most importantly, you genuinely enjoy being that person.

And that's important, because this isn't a stepping stone to becoming a Mortgage Adviser.

There's plenty of opportunity for this role to grow, but we're looking for someone who wants to become exceptional at owning the operational side of a mortgage brokerage — not someone waiting for their chance to move into advice.

As Campbell Financial grows, we see this role developing further into operations, systems, workflows and the wider client experience (if that's what you want). We want you to become someone who knows how the business runs inside out, spots where we could be better and has the confidence and ownership to help us improve it.

What you'll actually own

This role starts long before an application is submitted.

From the moment a client books their first appointment, you'll become heavily involved in making sure their journey through Campbell Financial runs properly.

You'll take responsibility for things like:

  • Making sure clients receive and return the information and documents we need
  • Supporting clients with our portal and keeping them engaged with completing their information
  • Pre-populating and sense-checking fact-finds before adviser meetings
  • Identifying missing or inconsistent information before it reaches the adviser
  • Researching lender criteria, affordability and eligibility
  • Completing Decisions in Principle
  • Packaging and submitting mortgage applications
  • Processing protection applications
  • Managing lender and insurer portals
  • Responding to lender/provider requirements
  • Liaising with clients, lenders, insurers, solicitors and other professionals
  • Proactively chasing cases and keeping everyone updated
  • Finalising suitability reports from the adviser's detailed recommendation notes
  • Maintaining accurate, complete and compliant CRM records
  • Progressing mortgage cases through offer and all the way to completion
  • Keeping on top of the pipeline and knowing exactly what's happening with your cases
  • Spotting potential problems early and taking ownership of getting them resolved

All mortgage and protection advice and recommendations remain the responsibility of the adviser.

Your job is to make sure the adviser has everything needed to advise the client brilliantly — and then make sure everything that follows gets done brilliantly too.

You'll never be hidden behind the scenes

This is a highly client-facing role.

You'll build your own relationships with our clients and become the person they call when they want to know what's happening, what happens next or simply need some reassurance that everything is still on track.

You'll handle the everyday questions and communication that don't require mortgage or protection advice — progress updates, documents, lender requirements, solicitor queries, application updates, portal help and everything else that comes with buying or remortgaging a home.

You'll also be one of the main people answering our office phone during our core client-service days.

We want our clients to trust you enough that they don't automatically ask for Sheena — because they already know they're in excellent hands.

The goal is for our clients to love dealing with you just as much as they love dealing with Sheena. Possibly more — although she'll struggle emotionally with that development.

Who we're looking for

Technical competence is only part of this role.

You also need to be warm, confident and charismatic. You build rapport naturally, communicate clearly and make people feel like they're in very capable hands.

You take pride in being dependable and doing things properly.

You don't see administration as the unimportant work that happens after the advice. You understand that brilliant processing, communication and follow-through are a huge part of what makes a mortgage experience exceptional.

You'll probably recognise yourself in quite a few of these:

  • You naturally think a few steps ahead
  • You notice loose ends and sort them
  • You communicate before someone has to chase you
  • You're extremely organised without needing someone else to organise you
  • You're confident in your own knowledge and judgement
  • You know when something genuinely needs escalated — and when you can simply deal with it yourself
  • You enjoy taking ownership rather than waiting for instructions
  • You build relationships easily
  • You care about the quality of your work
  • You like being someone other people can rely on
  • You're comfortable speaking up when you spot something that needs attention
  • You're comfortable with technology and curious about how AI can help us work smarter
  • If you see a better way of doing something, you'll say so

We're looking for somebody who wants ownership, not somebody who needs constant instruction or reassurance.

You'll have support when you genuinely need it, but you'll also be trusted to use the experience and judgement we're hiring you for.

We don't care how many years you've been doing this. We care whether you know how to do it.

There is no arbitrary minimum number of years' experience for this role.

If you've become exceptional at what you do quickly, we're not going to rule you out because somebody else has been doing it for longer.

But this is a senior position.

We expect you to arrive already confident in the parts of mortgage administration that are broadly consistent across brokerages, including:

  • Mortgage application processing and case progression
  • Protection application processing
  • Packaging cases
  • Lender and insurer portals
  • Mortgage criteria research
  • Affordability and eligibility
  • Decisions in Principle
  • Fact-find and document review
  • Chasing outstanding requirements
  • CRM and compliant record keeping
  • Confident communication with clients and third parties

We'll teach you how Campbell Financial works — our systems, processes, standards and client journey.

We won't be teaching you how to be a mortgage administrator.

And qualifications?

We don't have a qualification requirement.

CeMAP or other industry qualifications are welcome, but practical knowledge, judgement and your ability to actually do the job matter considerably more to us than the certificates you've collected along the way.

We want you to help us make Campbell Financial better

Initially, there's a very simple objective:

Take ownership of the operational client journey and give our adviser the space to advise.

But we don't want this role to stop there.

As you get to know the business, our clients and the way we work, we want you to become confident enough to challenge processes and suggest improvements.

If something in our workflow is clunky, tell us.

If clients repeatedly get confused at the same point, let's fix it.

If we're doing something manually that technology or AI could do better, question it.

If you spot something we've missed, identify a potential issue with a case or believe there's a better way of doing something, we want you to speak up.

We value people who use their experience, judgement and attention to detail rather than simply following instructions without question.

Ultimately, we're looking for someone who can grow into being Sheena's operational right hand and have genuine influence over how Campbell Financial develops.

How you'll work

This is a full-time, 37.5-hour role across Monday to Friday.

It's also genuinely remote.

You can live anywhere in the UK and there is no regular office-attendance requirement.

From time to time, we may bring the team together in Northern Ireland for something worthwhile — a team day, planning session or celebration. If we ask you to travel, Campbell Financial will cover the reasonable travel and accommodation costs.

And when we say flexible, we actually mean it.

We believe you'll do your best work when you feel at your best

We don't want to chain you to your laptop for exactly the same set hours every day just for the sake of it.

Monday to Thursday are our core client-service days, so we'll expect you to be readily accessible during normal business hours.

But we also understand that life happens during normal business hours.

Need to do the school run? Fine.

Have an appointment? Fine.

Prefer to hit the gym when it's quiet? Also fine.

Want to take some time for yourself during the day, finish a little earlier and make the time up later? Fine by us.

We don't need you to justify every hour of your day.

We do need you to take ownership of it.

Communicate with us. Keep your availability up to date. Return any calls you've missed. Deal with anything urgent. Make sure our clients and your workload are properly looked after.

Flexibility here is built on trust, communication and accountability.

If you're doing great work, our clients are being looked after and your responsibilities are under control, we're not interested in watching when your little Teams light turns green.

Structure your day in a way that brings out your best — for our clients, for the business, for you and for your family.

Fridays are a little different

We don't schedule routine client appointments on Fridays.

Instead, we use Friday as a quieter working day — a chance to get ahead, clear anything outstanding, tidy up the pipeline, work on systems and workflows or tackle something that will make the following week run better.

You're still working and our clients still need to be looked after, but you'll have much more freedom over how you structure your Friday.

It's breathing room inside the working week to get shit done without another meeting appearing in the diary.

1. A short introductory Zoom call for shortlisted applicants

3. Final interview
We'll consider your CV, application answers, introductory call and Contribution Compass profile together when deciding who progresses to final interview.
